Shelter Suite trial terms

Version 2026-11

1. About these terms

These terms apply to a free Shelter Suite trial. Whoever sets up the trial accepts them on behalf of their organisation.

They add to our User Agreement, which every Shelter Suite user accepts when they sign in. Where the two differ about a trial, these terms apply.

2. The trial

  • The trial is free and lasts 30 days from when you accept your invite and create your organisation. We may agree to extend it.
  • You don't have to become a customer, and nothing is charged during or after the trial.
  • We may end a trial early, for example if it's being misused.

3. Use made-up details only

A trial is for trying Shelter Suite out. Please don't enter real people's personal details (adopters, fosterers, volunteers, surrenderers, staff contacts or anyone else) or real records you need to keep. Use made-up details instead. The sample data we can add for you is made up too.

If real personal details are entered by mistake, delete them, or ask us to delete the trial. Your organisation remains responsible for any personal data it enters, as the User Agreement explains.

Your public application forms work during a trial so you can test them. Please don't share them with the public: real applicants' details would be deleted with the rest of the trial.

4. What a trial includes

  • Up to 5 users and 1 GB of files.
  • Sending contracts, website API keys, connecting Mailchimp and the Avid PETtrac microchip registry are available once you're a customer.
  • Shelter Suite doesn't email your applicants or other people in your records during a trial (for example, the email when you accept or reject an application): you'll see a preview of the email instead. Emails to your own users are sent as normal.

5. When the trial ends

  • Your users can still sign in, but can't use Shelter Suite until you become a customer. Your public forms close.
  • 30 days after the trial ends, everything added during it (animals, people, applications, notes, files and the rest) is permanently deleted.
  • Your organisation's settings and user accounts are kept for one year after the trial ends, as agreeing to become a customer can take time. If you become a customer in that time, you pick up where you left off. We aim to email your administrators 30 days before then.
  • After one year, your organisation and everything in it, including its user accounts, is permanently deleted.

Backups are kept for a limited time as part of our normal backup cycle and are then deleted.

6. Becoming a customer

If you become a customer, everything added during the trial is deleted, so you start with a clean system. Your settings, users, forms and other configuration are kept. Pricing and any customer agreement are agreed with you separately.

7. Deleting your trial

You can ask us to delete your trial organisation at any time, and we'll delete it and everything in it.

8. The service during a trial

We provide the trial as it is, free of charge. We aim to keep Shelter Suite available, but during a trial we don't guarantee it, and features may change. As trial data is made up and is deleted, please don't rely on it, and keep anything you need elsewhere.

9. Contact

For questions about your trial, or to become a customer, reply to any of our trial emails.
